Secretary General

1.Website

    The Student Association’s website has been shut down for two years. With the advancement of technology, a revamped and redesigned website is needed to provide information to our students. The website will contain seven major tabs including the Photo Gallery, News & Highlights, About us, Resources, and Contact us.

Firstly, the Photo Gallery will store all of our memorable photos in Inter-school competitions, and events held by the Student Association like the Talent Quest or the Christmas Ball.

Secondly, News and Highlights will share the latest updates of the Student Association to our students. For example, upcoming competitions and competition results. We would like the students to know more about the school know and what’s going by giving them details on the next upcoming sports competition. We hope that students will stop by and cheer for our home-grown athletes.”Win or lose,we love you still” is the slogan of our cheering, and we believe it's crucial to put it into work. Whether we lose or win a competition, it’s important to tell the students about it in order to show our gratitude to the athletes for their hard-work. Updates on products and events, service request would also be posted in the News and Highlights tab.

Also in the News & Highlights, there will be an online shop for the ordering of Secretariat products, publications from Publications Board, and event tickets from Class Representatives Board and Clubs Coordinating Board. The details of the online shop will be discussed in the next section of the policy.

Thirdly, About us, is a brief introduction of the executive committee and the student association. We hope that students could get a better understanding on the operations of the Student Associations.

In the tab Resources, there will be all the needed documents for the normal operations of the Student Association. For example, the Claiming Form for the Finance Committee, Club Reports, Proposals for the Clubs Coordinating Board, and the Voice-Out System form for Class Representatives Board. Download links will be provided for printing out for students who are in need for these services.

Last but not least, Contact us, a basic way of showing them the Student Association is online 24-7. We would love to hear students’ thoughts on improving the operations of the Student Association. We will prove students the mobile numbers of the Executive Committee, Facebook links, email addresses and the address of the Student Association Office.

2.Structural Reform

    

The number of good designers have been in a rapid decline over the past few years. Therefore, we feel the need to open up more spaces for more opportunities for designers so that we can train recruiting members who are good at designing. We will teach them computer drawing, using software like Adobe Photoshop, and Adobe Illustrator. We will also recruit more potential designers so that the secretariat could continue releasing astonishing products to our students.

In the past years, the Secretariat had a certain amount of excess manpower. In the forthcoming year, it will be of the best to trim down its members, to ensure that we have devoted members who are more than willing to put their time in the SA and for the Secretariat instead of having a number of members who do not treasure their identity as a member of the Secretariat. This could streamline the workflow of the board and to ensure the equal distribution of workload among members

With all the reforms coming forward, a small amount yet sincere members will surely have a greater chance of bringing the Secretariat and the SA to a new height.

3.Online Order System

    

One of our school’s motto is ”La Salle is Something More.” So we went back to the drawing board to figure out how we could streamline every step of the ordering process of the Secretariat. Along with the establishment of the Data Management in the Finance Committee, the Secretariat is proud to announce the Student’s Association Online Shop, a new all-in-one shop which could provide a more comprehensive effective way to sell products to our students. We would like to introduce this new system in three major steps. Overview, Release of Order Form and Ordering through Manufacturers.

In terms of product introduction, products are usually released in form of notices in previous years, but there’s always one common disadvantage in the lack of accurate and comprehensive information. Printers might not be able to print out the exact colour of the design, students might not be able to get a comprehensive view of the product etc. Also, it consumes paper, these problems can all be solved by the new Student Association's Online Shop by providing multiple images on the design example products, giving the students the most accurate information and examples before purchase. Besides that, additional information like materials dimensions and packing details could all be provided through the web since their aren’t any constraints of paper spaces in the web. Giving the students the ability to know every single detail of their products before purchase.

One of the major advantage of traditional paper notice ordering forms is that everyone is able to see this notice and every student is aware of it. That’s why we would like to spread the release of secretariat products through social media to emulate this effect. When a new product is released, the Student Association will post notices through Google Forms and also release messages through social media. We will also require Class Representatives of each class to post this message to their Whatsapp class group to ensure that every student notices the release of the product.

In regards to the ordering method, students can simply order through their own school Google account.

After each submission using the Google Form, the Data Management Team of the Finance Committee will analyze the data collected and invoices will be sent to the respective student’s email address.The email mainly contains information on the number of items ordered and the overall total to be payed to the Class Representatives of each class.

4.After-Sales Service

 

Excess products are always left behind in the Student association Office and are not allowed to be sold in after-sales services due to data handling. But now with the establishment of the Data Management Team, and the website created, there will be a new products section where a Google Form must be filled in before after-sales purchase.The number of stocks of each product will also be available online to let students have a better understanding on the stocks.

It is also hoped that will the collection of the after-sales data, the Secretariat could have a better understanding on the trend that students are likely to purchase after the official selling. This gives us sufficient data to understand and avoid excessive over stocking in the Student Association Office.
